Table plans & seating charts

Your seating plan,
finally sorted.

Draw your room to scale, drop the guest list in, and drag names onto chairs until the room is right. MapMySeats catches what you would only notice at the rehearsal — two people on one chair, a table over its seat count, a child sitting alone — and then prints every card and list you need on the day.

Everything in one place

Built for the awkward bits

Weddings, conferences, galas, awards dinners and fundraisers. The room, the guest list and the seating all live in one document, so change one and the rest keeps up.

Draw the real room

Round, oval, banquet, U, E, T and L tables (13 shapes in all), plus rows of chairs with no table for the ceremony, and dance floor, bar, stage, doors, pillars and fire exits. Snapping, guides and free rotation.

The whole guest record

RSVP, meal choice, dietaries, accessibility, VIP, side, tags and notes. Search it, filter it ten ways, and change fifty guests at once with a bulk edit.

Seat people by hand

Drag a name onto a chair. Drop somebody on an occupied one to swap them, drop a whole selection on a table to fill it, or pin a guest so tidying the table order leaves them where they are.

Nothing slips through

A live issues panel flags double-booked chairs, over-full tables, children sat alone, declined guests still seated and anyone unseated. It even checks access needs against where the doors actually are. Click to jump straight to it.

Print the whole day

Eight layouts: floor plan, table cards, place cards eight to a sheet, an A–Z “find your table” board, a QR sign and QR table cards guests scan to look themselves up, the guest list and a catering sheet with meal totals. Plus CSV, PNG, SVG and JSON exports.

Paste your spreadsheet

Copy straight out of Excel, Numbers or Google Sheets, or drop a CSV. The wizard guesses every column, splits names, tidies RSVP wording and skips duplicates.

Two of you at once

Send the venue or your coordinator an edit link and they are in the real editor with no account at all. You each see who else is in the room. If you both save, nobody’s work is quietly overwritten: you are told who saved, and asked which version to keep.

Nothing is ever lost

It saves as you work, with 120 steps of undo behind you. Name a version before a big rearrangement and roll the whole plan back to it in one click. You can export a complete backup whenever you like.

Run a whole season Professional

A season’s worth of events, filed and findable. Put plans in folders by client, venue or season; give every plan a client so six plans called “Saturday” are six different weddings; search and sort the lot; and move, archive or delete a dozen at once. No limit on how many plans you keep.

Trace your venue’s plan

Drop the floor plan the venue sent you in as a background image and draw straight over the top of it, in metres or feet, so what you print matches the room people will actually walk into.

Three steps

An evening’s work, not a fortnight’s

1

Set the room out

Enter your room size, drop in tables and features, and nudge them until the plan matches the venue. Trace over a floor plan from the venue if you have one.

2

Bring the guests in

Paste the list from your spreadsheet and it lands as real guest records - who has replied, meals, dietaries and all. Then drag names onto chairs, a table at a time.

3

Print and share

Fix the last few by dragging names between chairs, then print the cards and the seating board, put a QR code on the door and send the venue a link to the plan itself.

Sharing

Three ways to hand it over

Your guests, your venue and your caterer all need something different from the same plan, and none of them should have to make an account to get it. Every link below is switched on and off by you, and can be replaced at any moment: make a new one and the old address stops working there and then.

A link for your guests

A read-only page where anyone can type their own name and be told which table they are on. Show them the room drawn out with the search beside it, or choose names and tables only. On a names-only link the floor plan, the meal choices, the dietary notes and everyone’s contact details are never sent to that page at all. It is also the better page to land on from a phone.

A QR code for the door

The same link as something a guest can point a phone at. There is a ready-made A4 sign for the entrance and a sheet of eight cards to cut up for the tables, or save the code on its own as PNG or SVG. The code is drawn in your own browser, so the address of your guest list is never handed to some QR website on the way.

A link for the venue

An edit link opens the full editor for whoever you send it to, with no account and no sign-in screen, because holding the link is itself the permission. They can move tables and reseat guests; they cannot delete the plan, copy it or share it on. When the day is done, replace the link and they are out.

You and your coordinator can be in the plan at the same time: each of you is shown who else is here, and if you both save, the app names whoever got there first and asks which version to keep rather than quietly picking one. Either way the other version is kept in the history.

Questions

Before you start

What do I get for free?

One plan of up to 30 guests, with the whole editor behind it: every table shape, the live issue checks, the import wizard and every printable layout. All it takes is a free account: no card, no time limit. The one visible difference is that what you print and export carries a small “Made with mapmyseats.com” line at the foot of the page.

Which package do I want?

It depends whose event it is. Personal is for planning your own: 3 plans, unlimited guests, and no credit line on your printouts. Professional is for planning other people’s for a living: no limit on plans, plus folders, a client on every plan, bulk actions for running several at once, and your own name and logo on everything guests and venues see. Both are listed with current prices in the pricing table, and you can pay in pounds or dollars.

What counts as a table plan?

One event, one plan: your room, your guest list and your seating. The free package covers one; Personal covers three, which is the main sitting, the evening layout and one to experiment with. Professional has no limit. Deleting a plan you have finished with frees the slot again; archiving one just tidies it out of your list, and it still counts.

What do the folders in Professional actually do?

They are somewhere to put a plan. Make a folder per client, per venue or per season, give it a colour, and the dashboard filters to it in one click - and the folder you are looking at is a URL, so you can bookmark it or send it to an assistant. Filing a plan changes nothing inside it, and deleting a folder never deletes a plan: the plans in it simply come back out into the main list.

Where does the “Made with mapmyseats.com” line appear?

On free accounts only, and only on things that leave the app: the A4 print layouts, the PNG and SVG images of the plan, and the browser printouts. It is one line of small grey type in the page footer beside the page number - not a watermark across the seating chart. Both paid packages remove it, and the guest list CSV, the catering CSV and the JSON backup never carry it on any package, because those are data files.

Do I have to install anything?

No. It runs in the browser: Chrome, Safari, Firefox or Edge, on a laptop or a tablet. Everything saves as you go.

Can I move my guest list over from a spreadsheet?

Copy and paste the cells straight in, or drop a CSV file. The import wizard detects the columns, splits “Lastname, Firstname”, tidies RSVP wording and skips duplicates. You can remap anything it guesses wrong.

What can I print?

Eight layouts: the floor plan, table number cards, place cards eight to an A4 sheet, an alphabetical “find your table” board for the entrance, a QR sign for the door and the same code cut down to eight table cards, the full guest list, and a catering sheet with meal totals and dietary requirements. “Print → Save as PDF” gives you files to send to a printer.

Can the venue see the plan without an account?

Yes, and it can go further than looking. A view link gives anyone with the address a read-only page where they search for a name and see the table. An edit link opens the full editor for them with no account and no sign-in, which is what you want for a venue or a coordinator, though they still cannot delete the plan, duplicate it or pass it on. Switch either link off, or replace it, whenever you like: the old address stops working immediately.

Can two of us work on it at the same time?

Yes. You each see who else has the plan open. Nothing is silently overwritten: if you both save, the app tells you who saved first and lets you keep yours or take theirs, and the version you did not keep is saved in the history either way.

What happens if I stop paying?

Nothing is deleted and no plan is chosen for destruction. Access runs to the end of the period you have paid for. After that, if you hold more plans than the free package covers, the most recently edited stay editable and the rest turn read-only - still openable, printable and exportable. Renewing restores the lot.

How much do guests see on a share link?

As much or as little as you choose. Set the link to “names and tables only” and the page is sent nothing but names and table names. The room, the meal choices, the dietary requirements and everyone’s contact details never reach it. The QR code is drawn in your own browser rather than by an outside service, so the link is not handed to anyone on the way to the printer.
