Terms of Service
Version 1.2 · Last updated 3 September 2026
These terms are the agreement between you and MapMySeats for the use of MapMySeats. They are deliberately short and readable. The one thing worth reading twice is section 4, because it covers who a plan belongs to, and what happens to a plan you started before you made an account.
1. The agreement
MapMySeats is a seating-plan tool, run by a sole trader based in the United Kingdom (“we”, “us”). “You” means the person using the service. You can reach us at [email protected].
By using mapmyseats.com you accept these terms. If you do not accept them, please do not use the service. Our Privacy Policy forms part of this agreement.
2. What the service is
MapMySeats is a browser-based tool for laying out a room, importing a guest list, seating people at tables and printing the results. It runs in your browser; there is nothing to install. Features include table and room editing, guest import from CSV or a pasted spreadsheet, automatic seating with rules, issue checks, printable floor plans, table cards, place cards and catering sheets, view and edit share links, version history, and CSV, PNG, SVG and JSON export.
3. Who may use it
You must be at least 16 years old and able to enter into a binding contract. If you are using the service for a business, as a wedding planner, venue or caterer, you confirm you are authorised to accept these terms on that organisation’s behalf.
4. Accounts and how plans are owned
A plan belongs to the account that holds it. You are responsible for what happens under your account, so keep your password to yourself and tell us promptly if you think someone else has got into it. We may close an account that was opened with somebody else’s email address.
You can start a plan before you make an account. Until you sign up, that plan is held against a random token stored in a cookie on your browser, and that token is all that proves the plan is yours. When you create an account or sign in from the same browser, every plan that token still holds moves to your account and stays there.
A plan you have not yet attached to an account lives and dies with that browser. Clear your site data, use private browsing, switch browsers or move to another device and it will not be there, and we cannot restore access: there is no email address to match it to and no way for us to verify it was yours. Make an account, or export a JSON backup, before a plan matters to you.
Anyone with access to your browser while you are signed in can see and edit your plans. On a shared computer, sign out when you are done, and do not tick “keep me signed in”.
You can delete your account at any time from the account page. Deleting it deletes the plans it holds, and that cannot be undone, so export anything you want to keep first.
5. Payment, renewal and refunds
- Prices are in pounds sterling. We are not currently VAT registered, so no VAT is charged.
- Payment will be taken by a regulated payment provider. Card details will be entered on their systems; we will never see or store them.
- There are two paid packages: Personal, billed every 6 months, and Professional, billed yearly. Either renews automatically at the then-current price unless you cancel before the renewal date. We will email you before any renewal, and the current price for each is shown on the pricing page.
- You can cancel at any time. Cancelling stops the next renewal; it does not refund the current period, and you keep access until that period ends.
- Your 14-day right to cancel. As a consumer you normally have 14 days to change your mind about a digital service. Because access begins immediately, you agree at checkout that the service starts straight away and acknowledge that you lose that right once it has been fully performed. In practice: if you have not made real use of the paid features, email us within 14 days and we will refund you.
- If a payment fails, or a subscription ends, the account returns to the unpaid level of access. Nothing is deleted: any plan beyond what that allows becomes read-only and exportable rather than being removed, so you can always get your data out.
6. Your content and your guests
Everything you put into a plan (the room, the guest list, uploaded images) remains yours. We claim no ownership of it. You grant us only the limited licence needed to run the service: to store your content, process it, display it back to you, and serve it on any share link you switch on.
You are responsible for the personal data of other people that you enter. You confirm that:
- you have a lawful basis for holding your guests’ details, and have told them how their data is used;
- you will keep sensitive information (dietary requirements, accessibility needs, notes) to what the venue and the caterer genuinely need;
- you have the right to upload any floor plan or image you use as a background.
For that guest data you act as the data controller and we act as your processor. Section 4 of the Privacy Policy explains what that means in practice.
7. Acceptable use
You agree not to:
- use the service for anything unlawful, or to store content that is defamatory, harassing or otherwise unlawful;
- upload malware, or attempt to gain access to plans, accounts or systems that are not yours;
- probe, scan or test the security of the service without our written permission, or interfere with its normal operation;
- circumvent, automate or attempt to defeat our bot protection, including Cloudflare Turnstile, rate limits or any other security control;
- scrape, crawl or bulk-download the service, or use it to build a competing product;
- resell or sublicense access, other than a planner or venue using it for their own clients’ events;
- place an unreasonable load on our infrastructure, including by creating plans automatically.
Guessing or enumerating share tokens belonging to other people is prohibited and, in the United Kingdom, is likely to be an offence under the Computer Misuse Act 1990.
9. Availability and support
We aim to keep the service running and to keep your data safe, but we do not promise a particular level of uptime. We may take it down for maintenance, ideally at quiet times and with notice where a change is significant.
Support is by email at [email protected]. We aim to reply within two working days, though there is no guaranteed response time.
Do not rely on the service being reachable at the moment you need it. Print or save a PDF of your floor plan, place cards and catering sheet before the event, and take that with you.
10. Our intellectual property
The MapMySeats name, logo, software, design and written content belong to us or our licensors. Using the service does not transfer any of it to you. You may print, export and freely use the output of your own plans, including commercially. A planner charging a client for a seating chart made here is exactly what the tool is for.
11. Warranties
We provide the service with reasonable care and skill. Beyond that, and to the extent the law allows, the service is provided “as is”: we do not warrant that it will be uninterrupted or error-free, or that its checks will catch every problem in your guest list. The issues panel is a prompt, not a sign-off. Check the plan before you print it.
Nothing in these terms affects your statutory rights as a consumer under the Consumer Rights Act 2015.
12. Liability
Nothing in these terms limits or excludes our liability for:
- death or personal injury caused by our negligence;
- fraud or fraudulent misrepresentation;
- anything else that cannot lawfully be limited or excluded.
Subject to that, we are not liable for indirect or consequential loss, loss of profit, loss of business, or loss of data where you have not kept your own copy. Our total liability arising out of or in connection with the service is limited to the total amount you have paid us in the 12 months before the claim.
We are not responsible for what happens at your event, for the decisions you make about who sits where, or for costs arising from a plan that was wrong, out of date or shared with the wrong person.
13. Suspension and termination
You can stop using the service at any time. Deleting your account, from the account page, ends the relationship entirely and takes the plans it holds with it.
We may suspend or terminate access, with notice where it is practical to give it, if you breach these terms, if your use threatens the service or other users, or if we are required to by law. Where we terminate without your being at fault, we will refund the unused part of any subscription.
14. Changes to the service and these terms
We will keep developing the service, which means features may be added, changed or withdrawn. We may update these terms; the version and date at the top show the current text. For material changes we will give reasonable notice in the app before they take effect, and continuing to use the service afterwards means you accept them. If you do not accept a change, stop using the service and, if you have paid, tell us and we will refund the unused part.
We may change prices for future renewal periods, with at least 30 days’ notice before a renewal. A price you have already paid does not change mid-term.
15. General
- These terms and the Privacy Policy are the whole agreement between us.
- If any part is found unenforceable, the rest continues to apply.
- Not enforcing a term straight away does not waive our right to enforce it later.
- You may not transfer your rights under these terms. We may transfer ours if the business is sold, provided your rights are not reduced.
- Nobody other than you and us has a right to enforce these terms.
16. Governing law and complaints
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction. If you live elsewhere in the United Kingdom you may bring proceedings in your own country, and you keep the benefit of any mandatory consumer protections of the country you live in.
Complaints go to [email protected], which is the only contact route we monitor. We will acknowledge within five working days and aim to resolve within 30.
